Legal Assistant / PA
Job Overview
Opportunity for a Legal & Personal Assistant to join a growing property services and legal services group based in Bradford specializing in commercial property transactions and residential leasehold management with ancillary services including maintenance and lettings work.
The role will include a combination of administrative support for property and legal services, which may include but is not limited to:
Assisting with post completion work, e.g. SDLT, Land Registry, and Companies House.
The preparation of title and lease reports, legal forms, leases, transfers, purchase agreements, and other documentation under the guidance of a qualified solicitor.
Communicating professionally with clients and other parties’ solicitors over the phone and via email to provide an excellent service.
Providing general administrative support for the process of opening and closing files in line with company procedures.
Involved in contentious property work including the drafting and issuing of proceedings, and submitting and monitoring applications on MCOL and PCOL.
Responding to and raising property enquiries, including drafting replies to commercial property standard enquiries form.
Filing emails and electronic documents on the electronic document management system.
Scanning, storing, and retrieval of original documents.
Accurately recording time spent on files. Additionally, the Legal & Personal Assistant will be responsible for supporting property services operations by completing:
Maintenance of Blocks Online Management database including organising and updating leaseholder information, issuing service charge demands, recording payments, monitoring building maintenance jobs and regular correspondence with stakeholders regarding all of the above.
For lettings work, organizing and updating resident files, creating Assured Shorthold Tenancy agreements, creating and sending monthly Management Statements, preparing documents for signatures, uploading videos on YouTube, managing letting advertisements, and maintenance of all files on Google Drive/such other platform provided by SPS.
General office supply management including regular review and organisation of office supplies, as well as ordering supplies when needed.
Regularly monitoring client accounts, sending bank transfers, generating QuickBook invoices, requesting payments, and depositing cash and cheques.
Where capacity allows, updating and maintaining the company website including business development initiatives such as writing monthly articles for the blog.
Qualifications
The candidate will be highly literate and numerate and will have experience with Microsoft Office products.
Relevant experience would be useful but is not essential as the main attributes are enthusiasm, aptitude, excellent organizational skills, attention to detail, and a willingness to learn.
