Job Description

Fast-growing venture-backed B2B fintech start-up focused on revolutionising the financial industry in emerging markets, is seeking a highly motivated and experienced virtual Executive Assistant on a part-time, half-day, 20 hours per week basis. Fixed term contract of 6 months. With a team of passionate individuals led by two founders, they aim to provide innovative solutions to improve the access forex for corporates and remittance companies.

The candidate will play a pivotal role in the company’s success by providing comprehensive administrative support to the executives. You will be responsible for managing their schedules, coordinating meetings, organising travel arrangements, handling confidential information, and serving as a reliable point of contact for both internal and external stakeholders.


  • Efficiently manage executives calendars, including scheduling & coordinating meetings, preparing agendas, taking meeting minutes and prioritizing conflicting demands to maintain a well-organised schedule.
  • Arrange and manage travel itineraries, accommodation, venue bookings, transportation, etc to ensure seamless travel experiences.
  • Serve as the primary point of contact for the executives with external stakeholders and manage general internal communications with the team.
  • Create, edit and format documents, presentations, and reports as required, ensuring accuracy, consistency, and confidentiality
  • Maintain an orderly and complete filing system of all documentation on Notion, GDrive and Salesforce, and ensure the smooth running of day-to-day operations.
  • Handle sensitive and confidential information with utmost discretion, maintaining a high level of integrity and professionalism.
  • Assist with ad-hoc projects and initiatives, conducting research, preparing summaries, and providing administrative support as needed.
  • Build and maintain positive relationships with internal team members, external stakeholders, and clients, fostering effective collaboration and communication


  • Bachelors degree in Business Administrative or a similar field.
  • Minimum of 4 years experience in an administrative role, with at least 2 years reporting to C-level executives.
  • Excellent organisational and time management skills, with the ability to prioritise tasks and manage multiple deadlines.
  • Strong attention to detail, ensuring accuracy and completeness in all aspects of work.
  • Exceptional communication skills, both written and verbal, with the ability to interact confidently and professionally with stakeholders at all levels.
  • Flexibility and adaptability to a dynamic start-up environment.
  • Proactive and self-motivated, with the ability to work independently and as part of a team.
